Booking wedding video at the last minute: what is still possible
It is later than ideal, which is not the same as too late.
It usually happens one of three ways. Video was cut from the budget early and is now, a month out, starting to feel like a mistake. A booked videographer cancelled. Or it simply never got done, because there were a hundred other things and this one had no deadline until suddenly it did.
The honest picture first. Established videographers tend to book many months ahead, especially for Saturdays in peak season, so at short notice the market really is thin. Thin is not empty, though, and what you should protect first does not change with how much time is left.
Protect these two things first
Whatever you end up with, two parts of the day cannot be re-staged: the vows and the speeches. If time and money only stretch to one decision, make it clean sound for those, which means a microphone on the people speaking rather than a better camera at the back. The options, roughly in order
- Ask the studios you wanted anyway about cancellations. Dates do come free, and studios rarely advertise it. Ask to be told, then move on rather than waiting.
- Ask about an associate or a second shooter working solo. Many studios have someone who shoots in their style and has a free date the lead does not.
- Consider someone newer. Plenty of good videographers have open calendars because they are early, not because they are bad. Judge a full film they made, never a highlight reel, and ask how they record the vows.
- Film it yourselves, with one designated person and a plan. This works far better than leaving it to whoever has a phone out, and how that arrangement works is worth reading before choosing it.
How short is too short for The Loaner
Our own rental was partly built for exactly this. A camera kit can be booked up to five days before the wedding, because that is how long it takes to get a box to you reliably. If you would rather film on your own phones and just have us edit, nothing ships at all, so there is no minimum. Closer than five days for a camera, email us and we will do what we can, but we would rather say that plainly than promise a box we cannot get there.
Either way the edit is the same one our commissioned couples get, delivered three to five weeks after the camera comes back, with every raw clip.
The night-before checklist
- Pick the one person who is filming and tell them it is their job, not a favour they can drop once the bar opens.
- Send them the filmer's guide. It is one page, written for somebody who has never filmed a wedding.
- Charge everything and clear the storage. Most short-notice footage problems are a full phone or a flat battery.
- Decide whether the ceremony is unplugged. If it is, tell guests your filmer is the exception.
Can you book a wedding videographer at the last minute?
